Aftersales Coordinator

Overall purpose of the job  

 
The role centres on keeping the workshop running smoothly while supporting customers and our parts operation. The Aftersales Co ordinator ensures that vehicles are turned around quickly, parts are available when needed, stock is managed correctly and scheduled maintenance is planned with minimal downtime for operators. 

 

Responsibilities        

  • Identify and supply the correct parts for our customer base and workshop technicians. Prepare quotes, process orders, arrange deliveries or collections, and provide parts technical guidance where appropriate. 
  • Maintain accurate stock levels for fast moving and critical components. Oversee goods in and goods out, carry out regular stock checks, manage supplier returns, and ensure the parts store is organised, compliant, and ready to support urgent breakdown work.
  • Assign daily tasks to our workshop engineers based on skillset, job urgency, and vehicle type. Prioritise VOR (Vehicle Off Road) cases, monitor progress throughout the day, and adjust workloads as required.
  • Plan and schedule routine servicing, inspections, and preventative maintenance. Ensure all required parts, consumables, and resources are available ahead of each job to minimise downtime.
  • Update job cards, monitor labour and parts usage, support warranty claims, and ensure all documentation is accurate for invoicing and compliance (Safety inspection documents and maintenance records).
  • Keep our customers informed on job progress, lead times, and any issues affecting completion. Provide clear updates for fleet managers and support the aftersales team with service reminders and planned maintenance coordination.

Person Specification

  • Relevant Service experience within motor factors or commercial vehicle industry
  • Strong organisational skills with the ability to manage multiple priorities in a fast paced setting
  • Excellent communication and customer service skills
  • Good understanding of commercial vehicle components, service intervals, and workshop processes
  • Comfortable using stock control systems
  • Ability to prioritise own work effectively
  • High level of organisation
  • Ability to work as part of a team
